Scheduled insights

How a scheduled insight asks the AI assistant a question at a time you choose and delivers the answer by email or webhook

A scheduled insight asks the AI assistant a question at a time you choose, and delivers the answer by email or webhook. You write the question once, and SEINō asks it again on every run. It is one of the two ways to use SEINō Insights, alongside the chat.

You set a scheduled insight up once. After that, it works on its own:

  1. At the time you chose, the assistant answers your question. It uses your workspace data as it stands at that moment.
  2. SEINō writes a short summary of the answer.
  3. SEINō sends the result to your recipients, to your webhook, or to both.
  4. SEINō keeps the run, so you can open it again later.

You set three things: the prompt, the schedule, and the delivery. Each has its own section below.

A run is not the same as the chat. Both answer from the same metrics and dimensions in your workspace. But a run cannot ask you a question, and it does not know what you have told the chat. Write the prompt so it stands on its own.

The prompt is the question the AI assistant answers on every run of a scheduled insight. Write it the way you would ask the chat: “which campaigns underperformed last week, and by how much?”, “summarize revenue by channel for yesterday”.

While you write it, you can Preview it. The assistant answers the prompt once, on screen, and sends nothing. Preview until the answer is what you want delivered. Then set the schedule and the delivery, and save. Create a scheduled insight walks through it step by step.

Every scheduled insight also has a title. SEINō suggests one from the prompt, and you can change it. The title labels the insight in the list, and it is the default subject of the email.

A scheduled insight runs once a day, at a time you pick. It runs every day, or only on the weekdays you choose. You also pick the Timezone. There is no monthly schedule. The timezone defaults to your browser’s, not the workspace’s. The two do different jobs. The workspace timezone decides which data a run sees. The schedule timezone decides when SEINō sends the email.

Each insight shows its next run, so you can check the schedule is what you intended.

A scheduled insight delivers its answer by email, by webhook, or both. Each time it runs, it produces two things. The full report is the assistant’s complete answer, and it stays in SEINō. The summary is the short version: a headline that states the conclusion, then a few blocks of evidence under it.

Email and webhook do not carry the same thing:

  • Email goes to the recipients you list, inside the workspace or out. It carries the summary, and a link to the full report. Leave the subject blank and the email is sent under the insight’s title.
  • Webhook sends the full report to a web address you provide, so another system can pick it up. It arrives as JSON, with the report as html and text, and a link. Your developer sets this up.

You can send a report to anyone, inside the workspace or out. Public sharing decides who can open the full report behind it. Turn it on, and anyone with the link can read the report without signing in. Leave it off, and only workspace members can open it. See Public sharing.

SEINō keeps every run of a scheduled insight. Open the insight to see them.

Open a run to read the summary that was delivered, the full report, and the prompt that produced it. SEINō keeps every prompt edit in the insight’s activity log, so an old run still shows the prompt it used.

A preview also appears in the list of runs. SEINō marks it as a preview and delivers it to no one.

Every run of a scheduled insight carries a result:

Result What it means
Running The run started and has not finished yet.
Delivered Every channel accepted the report. Accepted means a success status from the mail service or your webhook, not proof that anyone read it.
Partially delivered One channel failed and another did not. For example, the mail service took the email and the webhook failed.
Delivery unknown SEINō made the report and handed it over. At least one channel has not confirmed what happened. This is a healthy run.
Delivery failed No channel accepted the report. You can still read the report in SEINō. Nobody received it.
Not delivered The run stopped before it made a report, because the caller went away. Nothing is wrong with the insight.
Failed SEINō made nothing, so it sent nothing. The run tries again at its next scheduled time. A usage limit also reads as Failed.
Timed out The run took too long, so SEINō made nothing. A run that keeps timing out needs a simpler prompt.
Unknown SEINō has no ending recorded for this run, so it cannot say whether the report was made.
Needs consent The workspace has not enabled AI Insights, so the prompt never ran. Nothing is wrong with the insight. See Consent.

You stay in control of a scheduled insight after you save it:

  • Pause: turn the insight off. It keeps its runs and settings, and runs again when you turn it back on.
  • Edit: change the prompt, title, schedule, or delivery at any time.
  • Delete: remove the insight and its runs.

A scheduled insight needs the workspace’s consent to process its data with AI. That is the same consent that covers the chat. If the workspace has not selected Enable AI Insights, SEINō refuses every run. See Setup for what is processed and why.

I’m an agency. Can I send a client their report?

Yes. Open the client’s workspace, create the scheduled insight there, and add the client’s email address as a recipient. They get the email like anyone else.

Two things to know:

  • Your client is not a member of the workspace, so turn on Public sharing for that insight. See Public sharing.
  • Each client workspace has its own scheduled insights. If you want the same report for several clients, set it up in each of their workspaces.
Can I get a separate report for each brand?

Yes. How you set it up depends on where your brands live:

  • Each brand has its own workspace. Create the scheduled insight in every workspace. A scheduled insight belongs to one workspace, so you cannot copy it to another. See Workspaces.
  • Your brands share one workspace. There is no per-brand setting on an insight. Create one insight per brand, and name the brand in the prompt itself.
Why can’t I add a recipient? It says the workspace only delivers to certain domains.

Some workspaces are limited to a list of email domains, and a scheduled insight only delivers to addresses on those domains. It has to be the exact domain: mail.example.nl does not count for example.nl. The message names the domains the workspace allows. A workspace with no such list delivers to any address.

The list is not something you set yourself. To add a domain, email support@seino.ai. A client workspace that an agency manages inherits the agency’s domains when it has none of its own.
