Create folders, put reports in them, move and rename them, and delete a folder without losing its reports
Folders group your reports the way a file system does: a tree you build yourself, as deep as you need. Every dashboard and data explorer lives in one folder, or at the top level, which SEINō calls Home. A folder can hold other folders. This page covers creating folders, putting reports in them, moving and renaming, deleting a folder, and finding a report once it is in one.
Before you start
Section titled “Before you start”Everything here happens on the Reports page. The sidebar on the left lists Home, the views, and a Folders group holding your tree. Click a folder in the sidebar to step into it. The heading and breadcrumb show where you are.
Folders belong to the workspace. Anyone in it can create, rename, and move them.
Reports keep their own rules:
- You can move a report only if you can edit it.
- You can delete a report only with full access.
- A Workspace Admin can delete any folder together with its reports, whatever their access to them. Moving a report, or keeping the reports when deleting a folder, still needs edit access, also for an Admin.
Create a folder
Section titled “Create a folder”Create a folder from the New menu. It lands in the folder you are standing in unless you pick another place.
- On the Reports page, step into the folder that should hold the new one, or stay at Home for a top-level folder.
- Select New at the top of the sidebar, then New folder. Right-clicking the empty list area or a sidebar folder offers the same option.
- Type a Folder name. The Location row shows where it will go. Select Change to pick another folder.
- Select Create. The folder appears in the sidebar and in the list.
With no folders yet, the sidebar shows a New folder button that does the same thing.
Put a new report in a folder
Section titled “Put a new report in a folder”A new report goes into the folder you are standing in, so there is nothing to move afterwards.
- Step into the folder on the Reports page.
- Select New, then Dashboard, or Explorer and a dataset. Under each dataset, the menu shows the sources that feed it.
- The report is made in that folder and opens. A new dashboard opens in edit mode.
When the workspace has the Reach dataset, Dashboard offers two templates: Quick start, an empty dashboard, and Reach.
At Home the report stays at the top level. A duplicate goes in the same folder as its original.
Move reports and folders
Section titled “Move reports and folders”Move a report or folder by dragging it, or with Move to… when you want to pick from the tree. Either way, a message names what moved and where. Select Undo in it to put everything back.
- Select the rows to move. Shift-click takes a range; ⌘-click or Ctrl-click adds one.
- Drag them onto a folder in the sidebar, or onto a folder row in the list. Folders that cannot take the drop fade while you drag.
- To drop deeper in the tree, hold the drag over a closed sidebar folder. It opens.
You can also drag a folder in the sidebar. Drop it on Home or on the Folders group to move it to the top level.
Move to…
Section titled “Move to…”- Select ⋮ on a row, or right-click it, and select Move to…. With several rows selected, use Move to… in the selection bar instead.
- The picker opens at the folder you are in. Choose a destination.
- Select Move.
To move the folder you are standing in, select the chevron next to its name in the heading and choose Move to….
A report you cannot edit stays behind, and the message names it. The rest of the selection still moves.
Rename a folder
Section titled “Rename a folder”- Select ⋮ on the folder row, right-click the folder in the sidebar, or select the chevron next to its name in the heading.
- Select Rename.
- Type the new Folder name and press Enter.
The reports inside stay where they are.
Delete a folder
Section titled “Delete a folder”Deleting a folder asks what happens to the reports inside it. An empty folder is deleted in one step.
- Select ⋮ on the folder row, right-click the folder in the sidebar, or select the chevron next to its name in the heading. Then select Delete.
- The dialog counts the reports and folders it holds. Choose what happens to the reports:
- Keep the reports (the default). They move to the parent folder, or to Home. Then the emptied folder and the folders inside it are deleted.
- Delete the reports too. Every report in the folder and the folders below it is deleted with it. Type the folder’s name to confirm. The button then reads Delete folder and n reports.
- Select Delete folder.
Deleting reports cannot be undone.
Keeping the reports needs edit access on every report in the folder. Deleting them too needs full access on each. Without it, the option is greyed out, or the dialog asks you to involve a Workspace Admin. See the FAQ.
Find a report in a folder
Section titled “Find a report in a folder”The list shows what is in the folder you are standing in: folders first, then reports. Click the Name or date column to sort.
Browse
Section titled “Browse”Click a folder in the sidebar, or double-click a folder row, to step in. The chevron in the sidebar expands a folder without entering it. The breadcrumb goes back up.
The address bar follows you, so the browser’s Back button steps back through the folders you visited, and a copied link opens the same folder for a colleague.
Search inside a folder
Section titled “Search inside a folder”Inside a folder, a toggle next to the search box offers the folder’s name and Everywhere. The folder is selected by default, so a search matches only the folders and reports directly in it, not what sits in the folders inside it.
As you type, each side of the toggle counts its matches. When the folder has none, a note under the box says how many other folders have some, with a link to show them. Select Everywhere to search the whole workspace. Reports from other folders then carry a folder chip. Click the chip to jump to that folder.
Use a view
Section titled “Use a view”Dashboards, Explorers, and Recent in the sidebar list reports from every folder, each with a chip naming its folder. Folders shows the whole tree at once.
With a report open, the navigator beside it shows the same tree. See Navigate between reports.
A report in the folder is greyed out, or my move was refused. What now?
You can move a report only if you can edit it, and delete one only with full access.
A report shared with you as view-only stays where it is when you move or drag, and the message names it. The rest of your selection moves as normal.
To move that report too, ask its owner to raise your access level, or to move it themselves.
A colleague left the workspace. How do we remove their folder?
If the folder holds reports you cannot edit, the delete dialog says Can’t delete and asks you to involve a Workspace Admin.
An Admin can delete any folder together with its reports, whatever their access to them. So an Admin deletes the folder as described in Delete a folder and chooses Delete the reports too. Keep the reports needs edit access on each report, also for an Admin; ask the reports’ owners to share them first.
